Booth Assignments
Only OAOP Partners will have the opportunity to choose their booth placement. Assignments for all other vendors will be made based on the date and payment when the registration is received, with upgraded booth placements given to conference sponsors. The final exhibit floor plan and assignments will be distributed to all vendors by Monday, March 24.

Exhibitors are encouraged to order by the deadline. Orders after the deadline and on-site will be accommodated whenever possible, but will be accessed an additional $75.00 surcharge per order.

By concluding our education and exhibits early on Friday, we are providing you with opportunities to make arrangements outside of the scheduled conference activities. A pre-registered list will be provided after February 17, allowing you to connect with attending doctors and staff prior to the conference.
Our annual awards banquet will take place on Saturday during lunch, where we’ll celebrate our annual Paraoptometric, OD, Young OD of the Year, and Distinguished Service OD awards. Tickets are available for purchase, and partner packages include ticket(s).
No Early Installation: No Installation, delivery, or third-party labor set-up will be permitted before the posted times. Any early arrivals will be turned away. Any delivery to the floor will be rejected prior to official installation.
Although we have added the option for early setup and installation, please be aware that security will not be available on Thursday evening.
No Early Tear-down: Early teardown is strongly discouraged and may affect your placement at future tradeshows. As a token of appreciation for companies that remain for the entire show without dismantling early, those participants will be entered into a drawing for a complimentary booth at the 2026 OAOP Vision Summit. The drawing will take place at the close of the exhibit hall, and a company representative must be present to collect the gift certificate.
No Shipments Held after Tradeshow: Any freight or package pickup scheduled after Dismantle window must be cleared/authorized by the tradeshow manager and the venue. Any pallets, equipment, or packages scheduled for pick up after Saturday, March 29, may be endangered of being lost or trashed.

Drayage Handling Service Recommended: Materials will be delivered to the exhibit booth prior to exhibitor installation. Materials without material handling orders will be held until an order is made and paid for. Drayage services are recommended to ensure the safety and delivery of your items.

No Guarantees for Venue Shipments: OAOP and Tradeshow Management are not responsible for materials shipped directly to the venue. Materials shipped to the venue must be collected from Embassy Suites shipping department and will not be delivered to your booth. The Embassy Suites Norman Hotel offers a group rate of $140 per night. The discounted rate is available until February 17, 2025 while inventory lasts. Room reservations may be made by clicking this link. The Embassy Suites also offers a complimentary breakfast for hotel guests.
Company Representatives
The standard 8 x 10 booth accommodates two (2) representatives. Premium 8 x 20 booths can accommodate up to six (4) representatives. There is a charge of $150 for each additional representative. If you have not already submitted the names of your attending representatives, please email their names, titles, emails, and phone numbers to meetings@oaop.org by March 7, 2025.
Company Profile
Once your registration is approved, your profile will be listed on the Exhibit & Sponsors page. If you need to add your logo it must be submitted as a PNG or JPEG image, no larger than 600 × 160 pixels and no heavier than 200kB. You may also add one (1) resource to your company profile. This resource must be a PDF document and 50 MB or less. If you did not provide the logo or resource during registration, please email it to meetings@oaop.org by March 7, 2025.
Exhibit Rules & Regulations
Please review the online conference rules and regulations to exhibit during the OAOP Vision Summit. A penalty will be imposed for violating any conference rules and regulations.
