factor 110 is the official tradeshow coordinator for Converge presented by OAOP and NSU Oklahoma College of Optometry. Our goal is to make your experience exhibiting at the show valuable and stress free. Our online exhibitor memo has been created to make sure you have all the tools necessary for a successful show. Please review the important information below and reach out to us with any questions.

The Hyatt Regency Tulsa Downtown offers a group rate of $139 if reserved by October 2. Room reservations may be made by clicking this link.

Standard Booth Package
The standard exhibit booth will contain the following.

  • Company identification sign
  • 8' deep x 10' wide space with pipe and drape*
  • 6' table with spandex linen
  • 2 folding chairs
  • Wastebasket
  • Power

*Premium booths are 8' x 20' with an additional table and two additional chairs.

A few days prior to the conference, you will receive more information on how to review and use your virtual booth profile on the conference mobile app. If you do not receive this information, please reach out to brad@factor110.com for assistance.

Exhibit Hall Carpet
The exhibit hall is carpeted. Additional carpet is not recommended.

Official Freight Carrier
There is not an official freight carrier for this show. Any inbound or outbound shipments should be arranged with your preferred carrier, however if you will be shipping items in to or out of the Advance Warehouse, Material Handling services should be ordered. See "Advance Shipment of Materials" below for additional information.

Service Desk
A factor 110 representative will be available on-site during installation, exhibit hall hours and dismantle. If you need assistance, please contact your tradeshow manager. Their contact information will be on a welcome letter in your booth.

Additional Furnishings

Exhibitors are encouraged to order by the deadline. Orders after the deadline and on-site will be accommodated whenever possible, but will be assessed an additional $75.00 surcharge per order.

Power and Internet
Basic power and Wi-Fi will be provided. If you have special requirements, please reach out to brad@factor110.com for assistance.

No Coinciding Events
Vendors are not allowed to hold events coinciding with scheduled conference activities and all onsite events at the Hyatt Regency must be approved by OAOP to avoid penalties. Contact heatherlyn@oaop.org for more information.

MATERIAL HANDLING OPTIONS

Advance Shipment of Materials
For your convenience, factor 110 accepts any exhibitor materials you wish to ship ahead of time. All items accompanied with a paid Material Handling order will be delivered to your booth ahead of exhibitor installation. Items shipped without paid Material Handling orders will be held until an order is made and paid for. See our Material Handling FAQ if you have questions.

Self Carry-In
Exhibitors may carry in smaller items, small rolling cases, and small carts. Show services does not provide carts or assistance for self carry-in.

Pallets, flat carts, or anything requiring a pallet jack may not be brought in by the exhibitor. Such items should be shipped to the advance warehouse, or you may purchase material handling services on-site to have these items brought in through the dock.

Self-parking is complimentary for overnight registered guests, while inventory lasts. Daily self-parking is up to $10 max per day. Valet is $30 per day.

OUTGOING MATERIALS

Material Handling
For your convenience, factor 110 can handle transporting your outgoing materials from your booth to UPS, FedEx, or a LTL carrier. All outgoing materials with Material Handling orders can be left in the booth. For UPS and FedEx Ground / Express packages, please have a return label on your package. We will schedule a pickup from our warehouse. For LTL carrier pickups (pallets/crates), please arrange a pickup with your preferred carrier at either the Hyatt or Advanced Warehouse (on the dates specified under "Important Dates" and email the BOL to brad@factor110.com. Please note factor 110 does not provide freight services or make arrangements with any carrier.

No Material Handling
Outgoing materials without Material Handling orders are the responsibility of the exhibitor to return. There is a UPS Store onsite. 

We highly suggest ordering Material Handling services for for LTL carrier pickups (pallets/crates). If Material Handling services are not ordered, you carrier will be responsible for picking up your pallet/crate at your booth. factor 110 will not transport it to the dock.

USE OF SPACE AND RENTAL ITEMS
These are general terms that are in addition to any terms and conditions you agreed to when purchasing your booth space.

Rental Term
All items rented from factor 110 from this site are for a rental term of the show duration. All items, including the standard booth items, should be left in the booth at the end of the show. Any items found to be missing will be subject to a replacement fee.

Care of Rental Items
Attaching signage or any other items to the pipe, drape, tables or other furniture in a way that will cause permanent damage is prohibited. Exhibitors who damage any such property will be accessed a replacement fee. A cleaning fee will be accessed if adhesive is attached to pipes and not properly removed.

Excessive Trash / Booth Abandonment
Any excessive trash left behind after the show will be subject to a disposal fee. Any items left behind at the end of exhibitor dismantle not clearly labeled for outbound Material Handling will be considered abandoned and disposed of.
